Job Summary

The Procurement Admin is responsible for providing administrative and procurement support for ongoing construction and façade projects, including sourcing materials, obtaining quotations, processing purchase orders, coordinating with suppliers and subcontractors, and supporting the Quantity Surveying (QS) team.

Key Responsibilities

Source and obtain quotations from suppliers and subcontractors for project materials, equipment, and services.
Compare quotations and prepare price comparison sheets to support purchasing decisions.
Prepare, issue, and monitor purchase orders (POs), ensuring accuracy of pricing, quantities, and delivery schedules.
Liaise with suppliers, subcontractors, and project teams to coordinate material requirements and delivery arrangements.
Follow up on outstanding orders and deliveries to ensure materials arrive on time.
Maintain and update supplier and subcontractor records, including quotations, pricing, and contact details.
Assist in negotiating prices and procurement terms with suppliers under the guidance of the QS Manager.
Coordinate with suppliers and the Accounts Department on invoices, delivery orders, and payment status.
Assist the QS team in preparing procurement-related documents for tenders, quotations, and cost estimates.
Maintain proper filing and documentation of quotations, purchase orders, delivery orders, invoices, and other procurement records.
Perform other administrative and procurement-related duties as assigned.

Job Requirements

Diploma or higher qualification in Quantity Surveying, Building, Business Administration, or a related field.
1–3 years of relevant procurement, purchasing, or administrative experience, preferably in the construction industry. Fresh graduates are welcome to apply.
Proficient in Microsoft Office applications, particularly Excel.
Good communication, negotiation, and coordination skills.
