Purpose of the Role
The Executive/Senior Executive will provide administrative, procurement, finance and contract management support for the exhumation and reinterment programme, while coordinating with contractors, authorities and other stakeholders.
Key Responsibilities
- Procurement & Finance: Manage procurement, tenders, quotations, SVPs and contracts within approved budgets and in compliance with organisational and government requirements. Track expenditure, commitments and budget utilisation; prepare monthly management accounts; verify contractor claims, intercompany billings and final accounts; and support project financial closure.
- Reporting: Review, verify and compile daily and weekly quantity reports covering exhumation, crypt, plaque and tree works. Review monthly photo reports and progress reports as supporting documentation for approvals and payments.
- Contract Management: Review contracts, timelines and budgets; monitor contractor performance and progress; assess compliance with contractual, authority and client requirements; and escalate non-compliance or issues to management.
- Exhumation Reports: Verify the accuracy of exhumation and monthly progress reports before submission to the relevant funding authority.
- Site Briefings & Audits: Support pre-commencement site briefings covering SOPs, risk assessments and safe work procedures. Conduct regular site audits to ensure works comply with Muslim law, authority requirements and health and safety standards. Follow up on incidents and recommend improvements.
- Stakeholder Coordination: Liaise with contractors, authorities, project representatives and other stakeholders to ensure smooth programme implementation and timely resolution of issues.
- Other Duties: Undertake other duties relating to after-death matters as assigned.
